Wisconsin Real Estate Transaction Coordinator Services

By Alex Marsolais, founder of Home Free TC

If you're a Wisconsin real estate agent looking for a transaction coordinator, Home Free TC handles contract-to-close coordination for agents and teams throughout Wisconsin. You get a dedicated W2 coordinator, a standard 2-hour response time on active files, and a $500 TC fee for new clients that's only paid when the file closes. We do not draft documents for Wisconsin.

I want to be upfront about that last part.

Our Wisconsin service is a little different from what we offer in Minnesota, so this page lays out exactly what you get.

What Does a Transaction Coordinator Do for Wisconsin Agents?

A transaction coordinator, or TC, manages the administrative side of a transaction once you have a fully executed purchase agreement.

Documents. Deadlines. Introductions. Follow-up with the lender and title. Updates to your clients. Getting the file complete for your brokerage.

Your TC keeps those pieces moving so you can spend your time on the parts that need you.

I go through this in more detail in What Does a Real Estate Transaction Coordinator Do?

What Your Wisconsin Transaction Coordinator Handles

Our contract-to-close service for Wisconsin files includes:

Reviewing purchase agreements and transaction documents for completeness and accuracy.

Communicating transaction details and documents with the cooperating agent, lender, title company, and other parties.

Introducing our team to your client and your key transaction partners.

Sending milestone updates to your buyers and sellers.

Tracking contract dates and deadlines, reminding you of them, and sharing them with your calendar.

Distributing fully executed documents.

Assisting with brokerage compliance and file submission.

Following up on appraisal status and obtaining lender written statements.

Requesting repair receipts and paid invoices when applicable.

Confirming lender and title have what they need for closing.

Helping prepare your clients for closing and sending utility information.

Assisting with commission and closing documentation, and supporting post-closing follow-up.

When we email your clients, we can use a branded email signature that reflects you, and we keep you copied on client correspondence.

We Do Not Draft Documents for Wisconsin

This is important, so I'm giving it its own section.

Home Free TC does not draft documents for Wisconsin transactions. That includes listing paperwork, buyer paperwork, offers, and other transaction documents. Document drafting is available only in Minnesota at this time.

For Wisconsin files, you handle document preparation the way you do today. Once you have a fully executed purchase agreement, we take it from there: reviewing documents for completeness, tracking deadlines, coordinating with the other parties, and working on brokerage compliance through closing.

What Stays With You

Your TC doesn't replace your judgment.

We don't negotiate for your clients, give legal advice, or perform licensed real estate activities.

Strategy, negotiations, advice, and the important client conversations stay with you. If something in a file needs a decision, we bring it to you.

If you're worried your clients will feel handed off, I wrote about how to delegate without losing clients.

MLS Listing Management for Wisconsin Listings in Northstar MLS

MLS Listing Management ($199 per listing, paid at the time of the request) is available for Wisconsin listings that go through Northstar MLS. It isn't available in other MLS systems at this time.

It covers things like reviewing listing documents, submitting them to your brokerage for compliance, entering the listing in the MLS, uploading photos and supplements, adding open houses, setting up ShowingTime, and updating statuses and price changes.

You still make the pricing and marketing decisions and advise your seller. We handle the coordination behind the scenes.

Existing clients send Wisconsin listing requests through the Listing Management Submission form on our Wisconsin submission page.

Wisconsin Hours and Response Time

Our Wisconsin hours are Monday through Friday, 8:00am to 3:30pm. We're closed on weekends and federal holidays.

Our standard response time on active Wisconsin files is 2 hours.

Evening and weekend coverage is a Minnesota service. It isn't offered for Wisconsin files.

What It Costs in Wisconsin

Transaction coordination: $500 per transaction for new clients. It's only paid if the transaction closes. If the file doesn't close, you don't pay the TC fee.

One-time setup: $500 for new clients. Setup is separate from the TC fee and isn't tied to a closing. It covers placing you with your coordinator, your branded email signature, building your templates, and adding Home Free TC to your brokerage compliance system.

MLS Listing Management: $199 per listing, paid at the time of the request, for listings that go through Northstar MLS.

A TC typically saves an agent 14 to 15 hours per transaction. If you want to run the numbers on your own business, read Is a Transaction Coordinator Worth the Cost?

Who This Is a Good Fit For

We built our service for established agents and teams who close consistently and feel the paperwork starting to take over their evenings.

That's who we serve best. It isn't a requirement. My article on when to hire a TC can help you decide.

But, a TC isn't always the right answer.

An assistant or VA may fit better if the work you want gone is mostly marketing, database follow-up, scheduling, or errands. Here's how I think about TC vs. assistant.

A listing coordinator may fit better if listings are your bottleneck and your listings aren't in Northstar MLS, since our listing management is limited to Northstar MLS.

An in-house employee may fit better if you have enough steady volume to keep someone busy full time and you want to manage hiring, training, payroll, and backup yourself.

Many agents use more than one of these. A TC works fine next to an assistant.

Do I Need a Transaction Coordinator Near Me in Wisconsin?

Your TC doesn't need to be down the street.

We support agents throughout Wisconsin, so you don't need to be in a particular city to work with us.

What matters is that your coordinator handles Wisconsin files regularly, knows how your brokerage wants files submitted, and communicates the way you want.

Questions Wisconsin Agents Ask

Do you draft documents for Wisconsin agents?

No. We do not draft documents for Wisconsin. Document drafting is available only in Minnesota at this time. For Wisconsin files, we start once you have a fully executed purchase agreement.

Will I have the same coordinator on every file?

Yes. You have a dedicated coordinator who learns how you work, with our team behind them when they're out.

How do I send you a Wisconsin file?

Existing clients submit new fully signed purchase agreements through our Wisconsin submission page.

Do you work with Minnesota agents, too?

Yes. Minnesota clients also have access to document drafting and evening and weekend coverage, which aren't offered in Wisconsin. See our Minnesota transaction coordinator page.
